AI email analysis: turning your inbox into actions
An inbox isn't a to-do list, but it contains one. Appointment confirmations, bills to pay, invitations, follow-ups: the information is there, buried. Here's how Happy Assistant analyzes your emails to extract only what requires action from you.
The principle: suggestions, never automatic action
The design choice is deliberately cautious: the AI never creates anything directly in your calendar. It produces suggestions that you approve or dismiss. This avoids the most annoying effect of overly eager assistants — a calendar polluted with events invented from a newsletter.
- Your new emails are fetched periodically.
- Each message is analyzed: does it contain a date, a deadline, an explicit request?
- Detected items appear on the “Suggestions” screen as proposed events or tasks.
- You approve with a tap, or dismiss. What's dismissed is remembered to inform future analyses.
What the AI looks for in an email
| Detected signal | Proposed result |
|---|
| Date + place + time (appointment confirmation) | Calendar event |
| Payment deadline, due date, follow-up | Task with a due date |
| Explicit request addressed to you (“could you…”) | Task without a date |
| Urgent tone, important sender, critical keyword | Alert to handle as a priority |
| Newsletter, promotion, automated notification | Ignored |
The last row matters the most. The value of automatic sorting lies as much in what it discards as in what it surfaces.
Sorting rules: taking back control
No AI can guess on its own that emails from your building manager are important and those from your phone carrier aren't. Rules let you record these preferences once and for all.
- By sender: always prioritize one domain, always ignore another.
- By keyword in the subject: “invoice,” “notice,” “delivery.”
- By action: create a task, create an event, alert, or do nothing.
Often useful: after creating or editing a rule, you can reapply it to emails already pending in the suggestions. Processing continues server-side, so you can close the app while it runs — handy when several hundred messages are involved.
Clearing a large backlog without spending your evening on it
When suggestions pile up, handling them one by one becomes discouraging. Two mechanisms prevent giving up:
- Multi-select: check every irrelevant suggestion and dismiss them all in one action.
- Reapplying rules: instead of sorting by hand, write the rule that describes the pattern, then run it on the existing backlog.
Privacy: what is stored
The analysis reads the content of your messages, which requires being clear about how it's handled. Your emails are not archived in full in the app: only message identifiers (so the same message isn't analyzed twice) and extracted elements — suggested title, date, category — are kept. Your inbox credentials are encrypted and data access is siloed per user account: no one but you can read your suggestions.
Frequently asked questions
Which email providers are supported?
Any inbox accessible via IMAP: Gmail, Outlook / Hotmail, iCloud, Free, Orange, OVH, or a professional server. The connection uses an app password.
Can the AI reply to my emails?
No. It reads emails to extract actions; it doesn't write or send messages on your behalf.
